SUMMARY
The coordinator oversees the administration of the College’s federal financial aid grant programs. This role ensures efficient delivery of customer service, business processes, and project management for international and immigrant student services in collaboration with colleagues across the College. The position supports KCKCC’s mission and strategic priorities in enrollment management, student success, and cultivating an inclusive, welcoming environment for all students.


POSITION DESCRIPTION

  • Serve as a primary point of contact for students, families, KCKCC colleagues, as it pertains to the Federal Pell Grant and Federal SEOG programs. This includes but is not limited to virtual and in person appointments, phone contact, and email contact regarding their application for and receipt of Federal Pell Grants, Federal Supplemental Educational Opportunity Grants (FSEOG).
  • Oversee the awarding, disbursing, reconciliation, and eligibility review of Federal Pell Grant and FSEOG programs. Prepare reports, conduct data analysis, and assist with the annual FISAP submission.
  • Manage the transmission of grant awards and payments to the Business Office. Reconcile all awards monthly in accordance with federal regulations.
  • Responsible for the coordination and management of the investigation of the federal unusual enrollment history flags as it pertains to federal grant aid eligibility.
  • Resolve conflicting data as it pertains to citizenship in the support of the federal financial aid process.
  • Provide specialized support to vulnerable student populations, including first generation students, and others at risk, to ensure successful completion of the financial aid process.
  • Manage and update college content on external and internal websites as it pertains to the KCKCC Financial aid process and the federal grant programs.
  • Represent the Student Financial Aid Office at on and off-campus events and workshops.
  • Serve as a backup coordinator for the importing of federal data from the United States Department of Education to the Ellucian Colleague System and provide support for the annual set-up process as it pertains to Ellucian Colleague and Student Forms.
  • Serve as a data reviewer for the implementation of Ellucian Virtual Advisor.
  • Responsible for office representation on campus committees and for campus collaboration as it pertains to at-risk student populations.
  • Keep abreast of national trends by attending workshops, trainings, and conferences, maintaining appropriate memberships and other professional development opportunities.
  • As assigned, liaison with national, regional, state, and local organizations promoting best practices in federal student aid administration.
  • Other duties as assigned by the Director of Financial Aid and the Vice President for Enrollment Management and Student Services (EMSS) aligned with College and EMSS strategic priorities and goals.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Possess strong written and oral communication skills.
  • Have a demonstrated in-depth knowledge of a multi-cultural and broad range of financial aid, grants, services, resources, and relevant guidelines to ensure student access to services.
  • The capacity to represent the College at local agencies/organizations activities and group meetings.
  • Must demonstrate a commitment to and ability to work with students, faculty, and staff population.
  • Must demonstrate a commitment to inclusive practices that promote social justice and equity.
  • High energy, self-starter who can work with minimal supervision.
  • Ability to develop and maintain excellent working relationships and establish credibility with all levels of employees and outside agency personnel.
  • Detail oriented.
  • Working knowledge of Microsoft 365 applications, especially Word, Excel, and Outlook.
  • Ability to manage several projects with multiple deadlines simultaneously.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree.
  • At least one (1) year of work experience related to student affairs administration, programs, and services.
  • May not be in default on a federal student loan and/or owe an overpayment on a federal grant.

PREFERRED QUALIFICATIONS

  • Demonstrated understanding of the role of student financial assistance in supporting student success and progression.
  • Previous experience in student financial aid at a college or university.
  • Previous experience managing student employment for a college or university.
  • Experience with federal, state, or institutional regulation compliance.
  • Demonstrated experience with generating reports and reconciling accounts.
  • Demonstrated experience providing training and/or presentations.
  • Multilingual speaking and writing proficiency.

In performing the duties of this job, the employee is regularly required to stand, talk, hear, walk, and sit. Occasionally, the employee may need to push or lift items. WORK SCHEDULE
40 hours per week, during regular hours of Monday – Friday 8:00 am – 5:00 pm. with one late day per week between 9:30 am - 6:00 pm. Must be able to work a variable schedule/hour to meet operational and peak enrollment needs. May require additional evening and weekend hours.
