SUMMARY
The Admissions Specialist I serve as a point of contact for the Admissions Office’s ‘front of house’ operations and is responsible for providing prompt, professional, courteous customer service to prospective and current students, faculty, staff, administration, and the community. The Admissions Specialist also serves as a phone operator for the College.

This position ensures the high-quality execution and administration of customer service, business processes, and project management for prospective students with colleagues across the College to support Kansas City Kansas Community College (KCKCC) mission and strategic priorities related to enrollment management, student success, and fostering an environment for all students.

 

POSITION DESCRIPTION

  • Provide excellent customer service to prospective students and their families, current students, staff, faculty, and the community by sharing specific information regarding the admissions process, international student admission requirements, and the enrollment process – including, applications for admission, financial aid, placement testing, student support services, and the location of campus offices.
  • Promptly and professionally answer phone calls and respond to Admissions inbox email inquiries with accurate information.
  • Assist students with the completion of their applications for admission and their questions regarding the application process/their application status.
  • Responsible for the processing of applications for admissions as needed and during peak times.
  • Responsible for updating the admissions and associated calendars with KCKCC campus-related events, student visits, tours, and campus activities/events.
  • Produce graphics and materials for the Admissions Office and other College digital displays.
  • Process and distribute incoming/outgoing mail.
  • Generate student and student worker ID cards.
  • Oversee inventory of office supplies.
  • Maintain confidentiality of student records and compliance with FERPA and other federal regulations.
  • Operate the KCKCC operator system, sharing general information and referrals for services to appropriate college personnel, divisions, or departments, and maintain various voice messages associated with holidays and College closings, ensuring correct contact extension information.
  • Provide direct support to the Director of Admissions and Recruitment.
  • Other duties as assigned by the Director of Admissions and Recruitment and the Vice President for Student Affairs and Enrollment Management consistent with the College’s strategic priorities and goals.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Demonstrated in-depth knowledge of a wide range of admissions and KCKCC programs and services to attract and support students.
  • Have a demonstrated in-depth knowledge of the KCKCC student population’s unique qualities and attributes consistent with best practices.
  • Possess strong written and oral communication skills.
  • Must demonstrate a commitment to and ability to work with a wide range of student, faculty, and staff populations.
  • Must demonstrate a commitment to inclusive practices that promote social justice and equity.
  • High energy, self-starter who can work with minimal supervision.
  • Ability to develop and maintain excellent working relationships and establish credibility with all levels of students, faculty, and staff in the organization and community partners.
  • Detail-oriented.
  • Working knowledge of Microsoft Office 365 applications.
  • Ability to manage several projects with multiple deadlines simultaneously.

MINIMUM QUALIFICATIONS

  • High school diploma or GED equivalent.
  • Two (2) years of relevant customer service experience.

PREFERRED QUALIFICATIONS

  • Associate degree.
  • Multilingual speaking and writing proficiency.
  • Experience within a higher education institution working with a student population from a range of backgrounds, first-generation, and financially fragile.
  • Demonstrated experience working with a student information system, database, customer relationship management, or similar software system.

WORK SCHEDULE
Assigned 40 hours per week during Admissions regular hours of Monday – Thursday, 8:00 am – 6:00 pm, and Friday 8:00 am – 5:00 pm. Must be able to work a variable schedule/hour to meet operational needs. May require evening and weekend hours.
