SUMMARY
This
position is responsible for providing high quality customer service to prospective and current students, staff, and community members. Ensure that students, employees, and guests receive exceptional customer service. The Administrative Assistant is responsible for front line communications and operations, including but not limited to face-to-face communication with students, staff, and community members, answering telephone inquiries, providing navigational and technical assistance and enrolling students· into adult and community education classes.


POSITION DESCRIPTION

  • Greets students and visitors, ensuring a welcome learning environment while providing high quality customer service.
  • Answer and direct phone calls to the appropriate personnel.
  • Answer questions and enroll students in non-credit classes, enroll ABE/ESL/GED students during peak enrollment times.
  • Listen to voicemail messages and return calls in a timely manner.
  • Monitor and respond to email inquiries in a timely manner.
  • Assist with general office paperwork, filing, and maintaining an orderly front desk area and lobby.
  • Maintain inventory, order and stock office supplies.
  • Support Lumens database maintenance regularly and run reports.
  • Notify students of cancelled classes; drop and refund students from class.
  • Maintain instructor and student packets for classes.
  • Receive money during enrollment periods and follow appropriate protocols for safe keeping.
  • Perform other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Maintain confidentiality of information in all offices of Adult and Continuing Education.
  • Maintain current technology and software skills in order to efficiently operate division technology and utilize college software.
  • Possess strong written and oral communication skills.
  • Must demonstrate a commitment to and ability to work with a diverse student and faculty population.
  • Detail oriented.
  • Proficient with the Microsoft Office suite; especially Word, Excel, and Outlook. Ability to work in an active environment with the capability to multitask.
  • Excellent customer service skills.

MINIMUM QUALIFICATIONS

  • High School diploma or GED equivalent.
  • Two (2) years of customer service experience.
  • Bilingual- English & Spanish.
PREFERRED QUALIFICATIONS
  • Associate degree or higher.
  • Experience working in a professional office setting.
  • Experience working with Student Management Systems.

WORKING CONDITIONS
While performing the duties of this job, the employee is frequently required to stand, talk, hear, walk, and sit. While performing the duties of this job, the employee may occasionally push or lift items.


WORK SCHEDULE
Up to 29 hours per week, during regular hours of Monday – Thursday, 8:00 AM - 2:30 PM, Friday, 8:00 AM - 1:30 PM. Must be able to work a variable schedule/hour to meet operational needs. May require evening and/or weekend hours.
