SUMMARY
The Administrative Assistant I serves as a point of contact for the Student Success Center and provides prompt, professional, courteous customer service to prospective and current students, faculty, staff, administration, and the community. The Administrative Assistant works in a team-based environment as a primary contact for enrollment and advising process-related questions and collaborates with members across the College to support the mission and strategic objectives of Kansas City Kansas Community College (KCKCC).
POSITION DESCRIPTION
- Provide excellent customer service to prospective students and their families, current students, staff, faculty, and the community by sharing specific information regarding academic advising, placement testing, and enrollment processes.
- Promptly and professionally answer phone calls and respond to Student Success Center inbox email inquiries with accurate information.
- Answers calls, takes messages, makes appointments, and secures transcripts for the personnel in the Student Success Center.
- Proactively contacts students with upcoming advising appointments to ensure they are prepared and have necessary materials.
- Oversees distribution of bulk mailings for the Student Success Center.
- Maintains the general appearance of the reception area as well as informational materials.
- Assists with enrollment services as assigned by the Assistant Director of Student Success and Retention.
- Responsible for oversight of Microsoft Bookings Appointment Scheduler System for advising appointments. Creates, modifies, reschedules, and cancels student advising appointments as needed.
- Utilizes the Ellucian Colleague Student Information System to verify student holds before advising appointments and refers students to appropriate campus constituents to resolve registration restrictions before enrollment.
- Responsible for the ordering and maintenance of office supplies.
- Scans and links documents and transcripts for the staff of the Student Success Center.
- Manages the processing and exchange of graduation paperwork and conferral documents between the Student Success Center and the Registrar’s Office.
- Creates and maintains informational documents, brochures, and course maps that are distributed to new and continuing students.
- Assists with proctoring placement tests and provide scores to students and advisors as appropriate.
- Facilitates departmental social media and updates and maintains Student Success Center web pages.
- Other duties, as assigned by the Assistant Director of Student Success and Retention, the Director of Student Success and Retention and the Vice President for Enrollment Management and Student Services, aligned with College and EMSS strategic priorities and goals.
KNOWLEDGE, SKILLS, AND ABILITIES
- Have demonstrated in-depth knowledge of a multi-cultural and broad range of academic advising, placement testing, career services, and other KCKCC programs and services to attract and support students.
- Possess strong written and oral communication skills.
- Must demonstrate a commitment to and ability to work with a multi-cultural student, faculty, and staff population.
- Must demonstrate a commitment to inclusive practices that promote social justice and equity.
- High energy, self-starter who can work with minimal supervision.
- Ability to develop and maintain excellent working relationships and establish credibility with all levels of students, faculty, and staff in the organization and community partners.
- Detail-oriented.
- Working knowledge of Microsoft Office 365 applications.
- Ability to manage several projects with multiple deadlines simultaneously.
MINIMUM QUALIFICATIONS
- High school diploma or GED equivalent
- Two (2) years of customer service experience
- Associate’s degree.
- Multilingual speaking and writing proficiency.
- Experience within a higher education institution working with a student population with a highly multi-cultural, first-generation, and financially fragile population.

WORK SCHEDULE
Must be able to work a variable schedule/hour to meet operational needs. May require evening and weekend hours. Assigned 40 hour work week with the following schedule:
Monday - Thursday | 8:00 AM to 6:00 PM (CT)
Friday | 8:00 AM to 5:00 PM (CT)
