SUMMARY
The Financial Aid Coordinator is responsible for coordinating the awarding of financial aid programs and services, primarily at the Technical Education Center. This Financial Aid Coordinator is also responsible for the coordinating the return to Title IV, gainful employment, and financial value transparency compliance procedures. The Office of Financial Aid is a department within the Division of Student Affairs and Enrollment Management (SAEM). Reporting to the Director of Financial Aid, the Financial Aid Coordinator for Scholarships and Campus Employment ensures the high-quality execution and administration of customer service, business processes, and project management for the international and immigrant student services with colleagues across the College to support Kansas City Kansas Community Colleges (KCKCC) mission and strategic priorities related to enrollment management, student success, and fostering a diverse and inclusive environment for all students.


POSITION DESCRIPTION

  • Serve as the point of contact for students, families, KCKCC colleagues on the TEC Campus. Responsible for financial aid support in multiple locations. Support may include individual appointments, phone calls, virtual meetings, group presentations and email.
  • Manages and monitors the Return to Title IV financial aid programs and processes. This includes serving as a primary contact, monitoring student withdrawals, performing and documenting Title IV refund calculations, preparing reports, and making timely notifications to students.
  • Serve as the financial aid primary contact for students enrolled in correction programs (PEP). This includes but is not limited to educating students in KCKCC programs, assisting students with FAFSA completion, and serving as a liaison for faculty and staff about financial aid policies and processes.
  • As assigned, represent the Student Financial Aid Office at on and off-campus events and workshops.
  • Keeps abreast of national trends by attending workshops, trainings, and conferences, maintaining appropriate memberships, and other professional development opportunities.
  • As assigned, liaison with national, regional, state, and local organizations promoting best practices in scholarships and financial aid services.
  • Assist students and their families in completing the Free Application for Federal Student Aid (FAFSA) and any other paperwork needed to complete the financial aid process.
  • Serves as the financial aid representative for gainful employment and financial value transparency compliance regulations for the entire College. Coordinates the transmission of required financial aid data in a timely fashion to meet federal requirements.
  • Serve as community outreach contact for our dual enrollment partners, offering support in the transition process from dual enrollment to regular post-secondary status.
  • Accept, review, and log in documents needed to complete student financial aid files in the College’s document imaging system.
  • Other duties as assigned by the Director of Financial Aid and the Vice President for Student Affairs and Enrollment Management (SAEM) aligned with College and SAEM strategic priorities and goals.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Possess strong written and oral communication skills.
  • Have a demonstrated in-depth knowledge of a diverse and broad range of financial aid, programs, services, resources, and relevant guidelines to ensure student access to services.
  • The capacity to represent the College at local agencies/organizations activities and group meetings.
  • Must demonstrate a commitment to and ability to work with a diverse student, faculty, and staff population.
  • Must demonstrate a commitment to inclusive practices that promote social justice and equity.
  • High energy, self-starter who can work with minimal supervision.
  • Ability to develop and maintain excellent working relationships and establish credibility with all levels of employees and outside agency personnel.
  • Detail oriented.
  • Working knowledge of Microsoft 365 applications, especially Word, Excel, and Outlook.
  • Ability to manage several projects with multiple deadlines simultaneously.

MINIMUM QUALIFICATIONS

  • Bachelor's degree.
  • At least one (1) year of work experience related to student affairs administration, programs, and services.
  • May not be in default on a federal student loan and/or owe an overpayment on a federal student aid grant.

PREFERRED QUALIFICATIONS

  • Demonstrated understanding of the role of student financial assistance in supporting student success and progression.
  • Previous experience in student financial aid at a college or university.
  • Experience with federal, state, or institutional regulation compliance.
  • Demonstrated experience with generating reports and reconciling accounts.
  • Demonstrated experience providing training and/or presentations.
  • Multilingual speaking and writing proficiency.

WORKING CONDITIONS
While performing the duties of this job, the employee is frequently required to stand, talk, hear, walk, and sit. While performing the duties of this job, the employee may occasionally push or lift items.


WORK SCHEDULE
Assigned 40 hours per week, Monday-Friday, 8:00-4:30 PM. Must be able to work a variable schedule/hour to meet operational needs. May require evening and weekend hours.
