SUMMARY
The Administrative Assistant coordinates and supports all office functions for the department and works closely with a team of professionals and coaches to assure program delivery and success. The Administrative Assistant is a motivated team-player responsible for the coordination and support of the general day-to-day administrative, clerical, and operational tasks related to the department. The ideal candidate will have a passion for service and a desire to learn the operational side of how an intercollegiate athletic department provides value to the student-athlete experience.

POSITION DESCRIPTION

  • Provide excellent customer service by greeting internal and external stakeholders, answering incoming calls, and directing as needed and/or providing appropriate information and successful resolution of routine administrative issues relative to the office.
  • Provide administrative support to Director of Athletics and other departmental staff, including the maintenance and tracking of office records, expenditures, budgets and calendars, collection and compilation of data, preparation of correspondence and other materials, operation of standard office equipment (copier/fax machine/scanner), supply ordering and inventory, as well as the processing of requisitions, invoices and other requests.
  • Work regularly with the business office for monthly reconciliation and other financial inquires as needed.
  • Maintain up-to-date knowledge of institutional, Kansas Jayhawk Community College Conference (KJCCC), National Junior College Athletic Association (NJCAA) procedures and regulations as they pertain to daily operations.
  • Compliance Certifications, and other institutional reports.NJCAA Reporting, CleryMaintain student records, update participant files and assist with yearly reports including the Equity in Athletics Report (EADA),
  • Assist in the coordination all travel related arrangements (accommodations, conference registrations, etc.) for staff.
  • Provide support for all program elements such staff meetings, including submitting work orders, obtaining hospitality items and setting up as needed.
  • Exhibit sensitivity toward students and staff while honoring the confidentiality and privacy of student records, as well as other sensitive information.
  • Perform other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES

  • A pleasant and welcoming disposition that represents the values of the institution.
  • Quick data entry skills balanced with strong accuracy and an acute attention to detail.
  • Demonstrated knowledge and practical application of the internet and Microsoft Suite (Word, Excel, and PowerPoint).
  • Excellent written, verbal, and interpersonal communication skills.
  • Excellent organizational and problem-solving skills, with the ability to manage multiple projects and shifting priorities in a fast-paced environment.

MINIMUM QUALIFICATIONS

  • High School Diploma or GED Equivalent.
  • One (1) year experience in an office environment.

PREFERRED QUALIFICATIONS

  • Associates Degree or significant experience in an office environment.
  • Two (2) years of experience in an office environment, preferably in higher education working with a large staff of professionals.
  • A general understanding of Kansas Jayhawk Community College Conference and National Junior College Athletic Association policies and procedures.

WORKING CONDITIONS
While performing the duties of this job, the employee is frequently required to stand, talk, hear, walk, and sit. While performing the duties of this job, the employee may occasionally push or lift items.

WORK SCHEDULE
8:00 a.m. to 4:30 p.m. Monday through Friday. Must be able to work variable schedule/hours to meet operational needs. May require evening and weekend hours.
