Job Purpose

The Coordinator of Graduation and Transcript Services serves as the primary contact for reviewing graduation requirements, policies, degree/certificate audit evaluations and oversees the evaluation of transfer and non-traditional credits. They supervise the receipt of high school and college transcripts and release Official Kansas City Kansas Community College transcripts in compliance with the Family Educational Rights and Privacy Act (FERPA).

 

Position Description

  • Responsible for certifying degree or certificate completion and troubleshooting ineligible applications.
  • Responsible for processing degree or certificate substitutions, deviations and waivers
  • Responsible for evaluation and posting of transfer, military and non-traditional credit
  • Evaluate and process transcript/credit evaluations for reverse transfer agreement students and students with credentials from foreign schools.
  • Responsible for verifying degree or certificate credentials internally and to outside constituents
  • Responsible for evaluating eligibility and recording honors graduate status
  • Responsible for producing the candidate names for the Commencement Program and the name cards for the Commencement Ceremony
  • Collaborate with Student Success Advisors and Career Program Coordinators to determine course eligibility and graduation requirements
  • Serve on the Graduation Committee, and assist with all Graduation and Commencement Day Activities
  • Responsible for coordinating ordering of all Graduation and Commencement supplies
  • Responsible for the daily processing of incoming and outgoing transcripts and troubleshooting the transcript orders that need research.
  • Supervise the ordering of paper transcript supplies
  • Responsible for Imaging a variety of student documents
  • Responsible for being well versed in Kansas City Kansas Community College and the Registrar’s Office practices, procedures and policies
  • Ability to operate under the pressure of deadlines
  • Must be able to work with minimal supervision and initiate and work on projects independently
  • Evaluate data and provide reports regarding graduation and transcript operations
  • Other duties as assigned

 

Position Qualifications and/or Education

Minimum Qualifications and/or Education

  • Bachelor's Degree
  • Two (2) years of office experience
  • Excellent organization skills

Preferred Qualifications and/or Education

  • Master’s Degree
  • Working knowledge of an electronic transcript delivery system, Parchment
  • Working knowledge of a web-based student information system, Ellucian
  • Minimum two years of work experience in a higher educational institution, Registrar’s Office
  • Prior event planning experience, such as graduate ceremony experience
  • Fluent Spanish speaker

Physical Requirements

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. While performing the duties of this job, the employee is frequently required to stand, talk, hear, walk, and sit. While performing the duties of this job, the employee may occasionally push or lift items.

 

Work Schedule

40 hours per week, during the Registrar’s Office regular hours of Monday – Thursday, 7:30 am – 6:00 pm and Friday 7:30 am – 4:30 pm. Must be able to work a variable schedule/hour to meet operational needs. May require working evenings, weekends and remotely as needed.
