The Professional Assistant reports directly to the Dean of Operations – TEC. This position is responsible for providing administrative support to the Assistant Director and staff at the Pioneer Career Center.
 
FUNCTIONAL RESPONSIBILITIES
 
  • Maintaining the confidentiality of information relative to students, office personnel and other matters pertaining to the Pioneer Career Center.
  • Provide excellent customer service to the students, staff, faculty, and patrons of the Pioneer Career Center.
  • Provide administrative support for the Assistant Director and staff at the Pioneer Career Center.
  • Typing, reproducing and distributing materials as needed.
  • Answering phones, taking messages and setting up appointments for various staff including the Assistant Director, Coordinators, Academic Advisors, and Financial Aid at Pioneer Career Center.
  • Performing routine office responsibilities, i.e. filing, organizing files, bulk mailing, etc.
  • Be the primary point of contact between the Pioneer Career Center and Administrative Assistant to the Dean of Operations – TEC.
  • Become knowledgeable enough about the Pioneer Career Center, Distance Education, Continuing Education, Technical Education Center and the college in general to effectively and accurately answer questions.
  • Assisting with enrollment at the designated times of the year.
  • Become knowledgeable about the enrollment process as it relates to application for admission, financial aid, placement testing, and the location of campus offices.
  • Assist students with completion of applications, processing enrollments and accepting payments.
  • Contacting students relative to class cancellations.
  • Preparing file copies and distribution of original documents to the various administrative offices of KCKCC.
  • Assist in training and supervising part-time and on call staff and student employees.
  • Preparation of charts of room usage.
  • Processing time sheets and attendance forms for Pioneer Career Center staff.
  • Coordinate correspondence by telephone, computer and in written form.
  • Maintain supplies for the Pioneer Career Center.
 
CONSULTING TASKS
 
  • Assist with campus tours and college promotional events as needed.
  • Administer placement test to prospective students as needed.
  • Other duties as assigned.
 
SUPERVISORY RESPONSIBILITIES
 
  • Supervise work-study, part time and on call staff and student workers.

REQUIRED KNOWLEDGE, SKILLS, AND PERSONAL QUALIFICATIONS

EDUCATION and/or EXPERIENCE
 
  • High school diploma required with course work in secretarial training preferred.
  • 2-3 year secretarial experience.
  • 2-3 years customer service experience.

The position requires the individual to meet multiple demands simultaneously and to interact with the public and other staff.
                                   
EMPLOYMENT CLASSIFICATION:   NON-EXEMPT
 
HOURS:   9:00 AM to 5:30 PM Monday through Thursday and 8:00 AM to 4:30 PM on Friday. Additional hours may be needed during enrollment times and for office coverage.
 
SALARY:    $15.63/hr. ($32,500.00/year)-$16.01/hr. ($33,305.00/year)
