Job title: Part-Time Administrative Assistant

Reports to: Executive Director of Marketing and Community Outreach and the Director of Foundation Finance and Alumni Relations

Supervises: None

Position type: Part-Time

FLSA Status: Non-Exempt

Job Purpose: Help support the administrative needs of the Foundation, primarily for the purpose of scholarship processing, event organization, and customer service.

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Assist with Foundation’s Scholarship Application processing.
  • Data Entry for Alumni Relations and events.
  • Assist the Administrative Assistant of the Foundation in organizing events, managing room reservations and maintaining department files.
  • Answering telephones, taking messages and setting appointments (if applicable).
  • Filing and/or setting up files as needed.
  • Reproducing materials and distributing as directed.
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Collecting and distributing mail as directed, including any bulk mailings.
  • Other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Keyboarding at 50 words per minute preferred.
  • Ability to operate a PC and have experience with data entry and MS Office Products.
  • Ability to communicate well, both orally and in writing.
  • Ability to work with individuals of diverse backgrounds.
  • Must possess professional phone skills.
  • Ability to work with minimal supervision required.
  • Ability to work under the pressure of deadlines is essential.
  • Be available to work on-call basis, as needed.
  • Maintaining confidentiality on all information in the office(s).

EDUCATION and/or EXPERIENCE

  • High school diploma or equivalent required.
  • College coursework in secretarial procedures is preferred.
  • One-two years’ experience working in clerical positions.

SALARY:                 $12.00 per hour
