ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Organize and maintain the office, including student files, extensive mailing lists, Phi Theta Kappa database, calendars, ordering supplies and schedules.
  • Maintain confidentiality within department.
  • Responsible for office functions, including student assistance and process new applications for Phi Theta Kappa and Honors Scholarships.
  • Follow up and track student withdrawals.
  • Track enrollment dollars for the Dean’s and Presidential Scholarships.
  • Add new Honors Tutorials and Leadership class in Ellucian.
  • Prepare all mailings, flyers, duplications and print materials for all current and perspective students.
  • Assist in maintenance of Honors, Presidential and Dean’s scholarship lists.
  • Assist in the arrangement and set up of orientation, testing, enrollment sessions and special events.
  • Prepare/track forms such as: Requests for Purchase, Media Services Equipment, Facility Usage, Project Requests, Printing Production Requests, and Duplicating Requests as needed.
  • Weekly Absence Report sent to Human Resources.

 

ADDITIONAL RESPONSIBILITIES

  • Handle all correspondence, including all contact information and invitations.
  • Take, process and post to the Intranet minutes for the committees such as Honors Council.
  • Assist in taking students to events when needed.
  • Responsible for monitoring the selling of stoles and tassels for graduation.
  • Preform other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Keyboarding at 50 words per minute preferred.
  • Ability to operate a PC and have experience with data entry and MS Office Products.
  • Ability to communicate well, both orally and in writing.
  • Ability to work with individuals of diverse backgrounds.
  • Must possess professional phone skills.
  • Ability to work with minimal supervision required.
  • Ability to work under the pressure of deadlines is essential.
  • Be available to work on-call basis, as needed.
  • Maintaining confidentiality on all information in the office(s).

EDUCATION and/or EXPERIENCE

  • High School Diploma/GED
  • One (1) - Two (2) years’ experience working in clerical positions.

PREFERRED QUALIFICAITONS

  • College coursework in secretarial procedures is preferred.

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.

SALARY:  $12.00 per hour

 

WORK SCHEDULE:

Must be able to work a variable schedule/varying hours to meet operational needs. May be required to work other shifts to include evenings and/or weekends; as needed.
