JOB PURPOSE:
The Technical Assistant will evaluate graduation applications, review transfer credits and award degrees and certificates in accordance with college policy.  The Technical Assistant serves a key position with commencement exercises and is knowledgeable about graduation resources for our students, faculty, administration, alumni and the public.

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Using automated and manual processes, review potential graduates’ degree/certificate checks for accuracy and program completion requirements.
  • Collaborate with Student Success Advisors to set Degree Check Deadlines and oversee the timely receipt of Degree Checks.
  • Collaborate with Student Success Advisors and Program Coordinators to research and/or review student graduation paperwork.
  • Align approved Deviation/Substitution forms with degree checks.
  • Perform various duties on the day of commencement to ensure that the check in process and the ceremony flows smoothly.
  • Collaborate with the KCKCC Bookstore, KCKCC Foundation and KCKCC Student Activities Offices to disseminate Commencement Day information.
  • Prepare diploma and certificate covers for the commencement ceremonies.
  • Collaborate with the Registrar to organize the check-in process for the candidates who will attend Commencement.
  • Identify and schedule employees across all campuses to assist with the check in process.
  • Complete facility usage forms to reserve Commencement Day space and provide the lay out.
  • At the end of each term, review degree audits of students’ records and record graduation statements on those who have met all program requirements.
  • Post transfer credits as needed to student records for awarding degrees and certificates.
  • Order diplomas, honor cords, and corresponding supplies for current and past graduates.
  • Mail out diplomas/certificates at the end of each term.
  • Correspond with graduates whose diplomas have been returned.
  • Send Ineligible degree application notifications to students, Student Success Advisors and Program Coordinators.
  • Scan and link all graduation related student documents.
  • Assist with the posting of transfer equivalencies.
  • Assist with application of deviation or substitution requests to student program requirements.
  • Assist with answering graduation related questions.
  • Assist with graduation verification requests.
  • Assist with the checking in high school and college transcripts.
  • Assist with enforcing the College’s compliance with FERPA and other federal regulations.
  • Additional duties as assigned by the Coordinator of Graduation and Transcript Services and/or the Registrar.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to operate a computer with speed and accuracy is essential.

  • Must be able to work well with diverse groups with varying personalities, abilities and capabilities, both on the telephone and in person.
  • Strong customer service skills.
  • Must display the ability to maintain confidentiality of all matters and information that pertains to student records.
  • Must become well-versed in College procedures and policies.
  • Must become well-versed with College degree and certificate programs.
  • Must be able to work with minimal supervision and initiate and work on projects independently.
  • Must demonstrate ability to resolve conflict with diplomacy.
  • Must be available for occasional evening hours during enrollment, SOAR and graduation periods as needed.
  • Must be able to sit for long periods of time operating a computer.
  • Visual ability to sufficient to perform computer, scanning, linking functions, and identify students against their student ID.

EDUCATION and/or EXPERIENCE:

  • Associates’ degree required.
  • Minimum of One (1) year experience in Registrar’s Office with proficient use of student information system, Ellucian preferred.

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree.

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.

 

SALARY RANGE:   $29,800-37,300, actual salary will be commensurate with Education and Experience.



WORK SCHEDULE:  This position will work Monday – Friday from 8:00 a.m. – 4:30 p.m. Must be able to work a variable schedule/varying hours to meet operational needs. May require evening and weekend hours; as needed.
