ACCOUNTS PAYABLE ASSISTANT – BOOKSTORE

Reporting to the Director of the Bookstore, the Accounts Payable Assistant will support operations by reviewing and processing all invoices for general merchandise and textbooks.
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
  • Review all invoices for appropriate documentation and approval prior to payment
  • Prioritize invoices according to cash discount potential and payment terms
  • Reconcile vendor statements, research and correct discrepancies
  • Keep track of all departmental charges for the bookstore
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
  • Liaise with MBS or current systems provider for any issues/discrepancies to resolve for inventory purposes, keeping track of any issues
  • Work closely with the Backroom Clerk to ensure all returns and refunds from vendors are processed and filed correctly and the business office has received all refund checks in a timely manner
  • Maintain the store appearance and cleanliness; consulting with custodial staff for cleaning of floors, windows, and trash pickup as necessary
  • Assist customers on the sales floor, phone, e-mail, and website as necessary
  • Assist cashiers during peak periods, breaks, and vacations as necessary
  • Assist with processing and stocking of books purchased through book buyback as necessary
  • Assist with annual bookstore inventory as necessary
  • Complete and accomplish all other duties as assigned

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to work with minimal supervision and be able to prioritize and perform multiple tasks in order to support departmental goals
  • Excellent oral and written communication skills; pleasant telephone demeanor; ability to relate helpfully and tactfully to a variety of people and questions
  • Ability to work well under pressure (enrollment & buyback)
  • Must possess accurate keyboarding skills and be able to efficiently and accurately enter data
  • Must pass criminal background check
  • Willingness and ability to be flexible in working hours and may be needed to work some evening or weekend hours.

EDUCATION and/or EXPERIENCE

  • High school diploma or equivalent required; Associate's degree preferred
  • Accounts payable experience desired
  • One year experience working in a retail environment
  • Entry level ability in Word and Excel software

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
 
  • Hearing ability sufficient to assist customers.
  • Ability to lift 50 lbs.
  • Visual ability sufficient to perform accounting procedures and make correct change at cash register.

SALARY:                       $16.00 per hour
