TECHNICAL ASSISTANT – INFORMATION SERVICES
 to the ACADEMIC/EVENT SCHEDULING PROCESS MANAGER

Reporting directly to the Academic/Event Scheduling Process Manager, the Technical Assistant will be responsible for:
                 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
  1. Maintains confidentiality in all matters regarding Academic and Event Scheduling Actively and fully participate as a professional member of the Information Services division
  2. Maintains and schedules meetings, appointments, travel, and events as directed by the Academic/Event Scheduling Process Manager
  3. Provides positive initial contact for stakeholders to the Central Scheduling Office and assist walk-ins for assistance. Conduct event follow-up inquiries with customers
  4. Prepares various types of correspondence and other written communications for both internal and external distribution as directed by the Academic/Event Scheduling Process Manager
  5. Relays all messages – clearly and accurately
  6. Answers phone and replies to voicemail or email inquiries within one business day
  7. Directs any concerns to the Academic/Event Scheduling Process Manager
  8. Maintains confidentiality of sensitive and/or privileged information by assuring security and appropriateness of both verbal and written communications
  9. Receives and reviews event request form submissions for college related and community related events held at KCKCC to ensure accurate information is completed
  10. Contact customers for questions regarding event request forms that require further information
  11. Initiates resource requests in Ad Astra to initiate workflow
  12. Post daily events about meeting and conference room usage at the main campus during the week
  13. Maintains the Outlook Featured Events calendar for KCKCC administration
  14. Prints weekly event reports for Academic/Event Scheduling Process Manager
  15. Perform other duties as assigned
 
SUPERVISOR RESPONSIBILITIES
  1. Thorough computer skills in Microsoft Office Suite, help desk and inventory management applications
  2. Excellent communication skills, both oral and written
  3. Commitment to accuracy and attention to details
  4. Ability to work with minimal supervision
  5. Experience in professional office procedures
  6. Willingness to participate in continuous professional development
  7. Must possess a pleasant telephone voice and demeanor and the ability to answer questions concerning
    the college
     

EDUCATION and/or EXPERIENCE

  1. High school diploma or equivalent required; Associates degree or college coursework in secretarial procedures, computer skills, human relations in business environment preferred
  2. Minimum of three years secretarial/office experience required
  3. Experience with Ad Astra preferred

    FLSA STATUS:    Non-Exempt
     
    SALARY:             $27,500-32,500 per year ($13.22-15.63 per hour)
