Reporting directly to the Director of the Counseling & Advocacy Center, the Receptionist shall be
responsible for:
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
  • Serve as a receptionist, greeting persons, answering phones, taking messages with a professional, positive and helpful consistency.
  • Maintaining confidentiality of all information in the Counseling & Advocacy Center.
  • Serve as hub of communication for the Counseling & Advocacy Center staff regarding concerns that occur when staff are in the community.
  • Preparing mailings, publication, informational sheets, posters, flyers and distributing mail.
  • Coordinating the creating and dissemination of maters with the Print Shop, Web Service, the public information officer and bulletin board managers.
  • Provide support for all aspects of the work and programs of the Counseling & Advocacy Center – including scheduling and setting up workshops, programs and educational activities.
  • Handle circulation for the Gender Advocacy Library, while helping patrons check in and out books, catalog additions, and coordinating with the Campus Library.
  • Provide support to students, while accessing the Food Pantry and Clothing Bank.
  • Monthly inventory of the Food Bank, processing of incoming food donations and rotation of stock.
  • Support in donation drives and fund raising activities for the Food Bank and Dean’s Emergency Student Fund.
  • Assist with receiving, handing and dispersing donated clothing items.  Coordinate with TEC and Pioneer campuses effectively.
  • Maintain the mailing list in Excel, print, label and mail monthly newsletter.
  • Maintain a list of donors and community partners providing resources to the Center.
  • Complete and submit a weekly absence report.
  • Decorate and maintain Counseling & Advocacy Center bulletin boards.
  • Assist with scheduling events in the Counseling & Advocacy Center master calendar, update and request rooms for events.
  • Support fundraising efforts of the Counseling and Advocacy Staff.
  • Send out and collect Satisfaction Surveys.
  • Maintain resources for gender advocacy, prevention and substance abuse programming.
  • Act as a point of contact to assist in coordinating Behavioral Intervention Team referrals.
  • Maintain, monitor, download and add approved media to the information monitor running outside of the Counseling & Advocacy Center offices.
  • Maintain the outer office of the Counseling & Advocacy Center, including ordering and organizing office supplies, equipment, filing, maintaining, updating electronic forms, and documents.
  • Offer help and assistance to students in accessing resources and finding various campus departments and their classes when needed.
 
CONSULTING TASKS:
  • Perform other duties as assigned by the Director of the Counseling & Advocacy Center.
 
SUPERVISORY RESPONSIBILITIES:
  • Assist with training and supervising work study students, provide support to interns.

REQUIRED KNOWLEDGE, SKILLS AND PERSONAL QUALIFICATIONS:
  • Keyboarding at 55 words per minute.
  • Must have good computer skills, familiar with Microsoft Word, Excel and Publisher.
  • Must have good verbal and written communication skills.
  • Ability to work well with a wide variety of individuals on a consistent basis.
  • Must have a consistent, pleasant and professional demeanor on the phone and in person.
  • Must be able to work with minimal supervision and initiate work on projects independently.
  • Must be flexible in their schedule.
  • Must be able to consistently produce quality work that meets deadlines.
 
 
EDUCATION AND EXPERIENCE:
  • High school diploma required.
  • College course work or certificate preferred.
  • One year of experience preferred.
