JOB PURPOSE:
Clerical functions of the office assisting with credit and non-credit classes.


ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Assist students with enrollment process for day and evening classes in databases
  • Work on classroom schedules for evening non-credit classes
  • Inform students and instructors when evening classes are canceled and process refunds as needed.
  • Print student certificates for instructors of non-credit classes as requested.
  • Provide assistance to the director in setting up customized training courses, contracts, enrollment and billing for those courses.
  • Work closely with staff on coordinating evening programs.
  • Social media promotional activities for the Technical Education Center.
  • Assist in answering telephones, transfer calls to appropriate staff member, and/or take messages.
  • Answer phone calls directed to admissions.
  • Schedule appointments for students with advisors.
  • Assist student records department in responding to calls regarding transcript requests, verification requests, and release of records.
  • Assist admissions department with student information updates.
  • Assist records department with obtaining necessary forms from students and faculty to process records.
  • Greet and provide assistance to students, faculty, and visitors.
  • Create and modify documents using Microsoft Office.
  • Input and print reports on college systems.
  • Perform general clerical duties to include but not limited to the following: photocopying, faxing, mailing, and filing.
  • Support staff and faculty in assigned project-based work.
  • Other duties as assigned

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Must be able to type a minimum of 40 words per minute.
  • Expertise in executing job functions quickly, efficiently and accurately.
  • Flexibility with regard to work priorities and/or tempo of workflow.
  • Superior organizational skills, document tracking and archiving.
  • Sense of urgency and composure under pressure.
  • Ability to display positive “can-do” attitude.
  • Familiarity with operation of office equipment (i.e. computers, copy machine, typewriter, calculator, fax machine, printers, and scanners).
  • Outstanding customer service skills in a fast-paced environment.
  • Professional attitude including discretion in handling confidential information.
  • Proficiency in use of Microsoft Word, Excel, E-mail and Internet.
  • Working knowledge of social media sites for promotional activities
  • A pleasant demeanor and ability to answer questions about the college, by telephone and in person, in a fast-pasted environment.
  • Team player with ability to handle multiple tasks simultaneously.
  • Desire to work in a culturally diverse setting.
  • Working knowledge of a web-based student information system – Ellucian preferred.

 

EDUCATION and/or EXPERIENCE:

  • High school diploma or equivalent required; coursework at the college level in administrative procedures preferred.
  • Minimum of two years clerical experience, preferably in a higher education setting.

While performing the duties of this job, the employee is frequently required to stand and talk or hear and sometimes walk and sit. Occasionally the employee will bend or twist at the neck more than the average person. While performing the duties of this job, the employee may occasionally push or lift items. The employee is directly responsible for safety, wellbeing, and work output.

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.

 

SALARY RANGE:
$32,600 - $40, 800 annually, actual salary will be commensurate with education and experience.


WORK SCHEDULE:
Hours would be 10:00 am – 6:30 pm Monday thru Thursday and 7:30 am – 4:00 pm on Fridays while classes are in session. When not in session, hours are 7:30 am – 4:00 pm Monday thru Friday.  Must be able to work a variable schedule/varying hours to meet operational needs.
