PROFESSIONAL ASSISTANT - INFORMATION SERVICES

Reporting directly to the Dean of Information Services, the Professional Assistant shall be responsible for the coordination and organization of the division office of Information Services.
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
  1. Maintain confidentiality and professionalism in all matters regarding Information Services division and the college.
  2. Provide positive initial contact for students and visitors to Information Services divisional office.
  3. Gain familiarity with Information Services’ rolls, activities, and projects to answer/refer basic questions from students, faculty, administration and staff of the college.
  4. Answer telephones and take messages, relaying them accurately and clearly to the administrative assistant and directors/supervisors, respectively.
  5. Greet and answer questions of all students and visitors, referring them to appropriate division staff as needed.
  6. Direct and elevate concerns to the dean’s office to expedite resolution.
  7. Perform general clerical/receptionist duties.
  8. Post campus-wide notifications on behalf of Information Services as needed.
  9. Prepare mailings, flyers, duplications, and print materials for distribution.
  10. Maintain, encourage, and coordinate the cleanliness and organization of the office suite.
  11. Assist Information Services division directors/supervisors and administrative assistant as needed.
  12. Contact appropriate users when technical issues arise, proposing resolutions or status updates on outages.
  13. Serve as the primary contributor to Information Services portal pages.
  14. Actively and fully participate as a professional member of the Information Services division team.
  15. Ensure that all college remote instructional sites are included in all Information Services divisional communications.
  16. Coordinate functions of the Information Services divisional office with all students, faculty, administration, and staff of the college.
 
OPERATIONAL RESPONSIBILITIES
  1. Perform other duties as assigned by the Dean of Information Services.

QUALIFICATION REQUIREMENTS

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  1. Keyboarding at 50 words per minute required (test will be administered).
  2. Excellent oral and written communication skills in all media: in-person, telephone, email, etc.       
  3. Positive attitude, punctuality and dependability.
  4. Ability to work well with individuals of diverse backgrounds, personalities, etc.
  5. Excellent organizational skills, including long-term and immediate project deadlines.
 
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES (continued)
  1. Proficiency in Microsoft Office Suite, Ticket Management systems and/or other institutional management software preferred.  Datatel (Ellucian) knowledge is a definite plus.
  2. Experience in professional office procedures.
  3. Willingness to participate in continuous professional development.
 
EDUCATION and/or EXPERIENCE
  1. High school diploma or equivalent required; college coursework in secretarial procedures, computer skills, human relations in business environment preferred.
  2. A minimum of 2 years office experience required.

While performing the duties of this job, the employee is frequently required to stand and talk or hear and sometimes walk and sit.  Occasionally the employee will bend or twist at the neck more than the average person.  While performing the duties of this job, the employee may occasionally push or lift items.  The employee is directly responsible for safety, wellbeing, and work output.
 
Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
  1. Visual ability sufficient to operate computers and office equipment
  2. Hearing ability sufficient to answer telephone and assist patrons of the College.
  3. Ability to lift 30 pounds.
 
SALARY:             $26,593.33/per year, plus fringe benefits
If a current KCKCC employee is selected for this position, consideration will be given to his/her current salary.
