EXECUTIVE ASSISTANT TO CHIEF HUMAN RESOURCES OFFICER

The Executive Assistant to the Chief Human Resources Officer (CHRO) provides administrative support to the CHRO to ensure efficient and effective operations.  S/he reports directly to the CHRO and is responsible for providing a wide range of complex and confidential work.  S/he serves as a central point of contact by effectively handling phone calls, directing visitors, relaying messages, and facilitating communications both inside and outside of the College.
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
  1. Perform highly responsible and complex administrative and secretarial work exercising independent judgment in relieving the CHRO of administrative details.
  2. Research, compile, analyze, and summarize data for projects, reports, meetings, and memos as needed.
  3. Work interdepartmentally with the college’s staff and faculty offices to ensure accurate communication and coordination of HR activities. Work with outside offices and agencies coordinating specific activities and assuring the completion of such activities.
  4. Proof, verify, and account for all HR policy changes, modifications, and the documentation of new HR policies and procedures.
  5. Collaborate with the college Web Designer to ensure changes and updates to HR’s myDotte information
  6. Possess strong working knowledge of HR processes, language, and data necessary to ensure compliance with the college’s HR policies and practices.
  7. Maintain proficiency in DATATEL/ELLUCIAN, the college’s Human Resources Information System database and operating system.
  8. Maintain college’s organizational charts
  9. Process all submissions and/or corrections for HR expenditures
  10. Coordinate with academic administrative assistants to ensure training opportunities are met and standardization processes are shared.
  11. Prepare correspondence, reports, and requests on behalf of the CHRO independently or as directed.
  12. Assist in the organization and maintenance of confidential HR filing systems; maintain confidentiality of records and information.
  13. Maintain effective communications with other offices, staff, students, faculty, and the public; greet visitors to the office; answer telephones; provide routine information and direct visitors to appropriate offices/individuals.
  14. Assist in the completion of CHRO presentations and communications as directed
  15. Assist the HR Team with HRIS implementation and updates as needed and directed
 
ADDITIONAL RESPONSIBILITIES:
  1. Schedule and facilitate meetings with departmental administrative assistants.
  2. Perform other duties as assigned.
  
CONSULTING TASKS:
  1. Participate in monthly college CORE meetings and share issues, concerns, and projects.  Discuss and trouble shoot campus wide issues as related to DATATEL/Ellucian and disseminate that information departmentally.

  1. Experience/proficiency with Microsoft Office Suite, DATATEL/ELLUCIAN and other institutional management software.
  2. Thorough understanding of an educational institution, including its organization, processes, key contacts, and best ways to get things done.
  3. Strong organizational skills; ability to work on numerous projects simultaneously; flexibility.
  4. Commitment to accuracy; attention to detail.
  5. Excellent oral and written communication skills.     
  6. Punctuality and dependability.
  7. Ability to work well with individuals of diverse backgrounds, personalities, etc.
  8. Excellent organizational skills, balancing long-term and immediate project deadlines.
  9. Effective interpersonal skills; ability to diffuse conflict.
  10. Must have very good interpersonal and sensitivity skills at working with senior executives inside and outside of the college.
  11. Experience in professional office procedures.
  12. Willingness to participate in continuous professional development.
 
EDUCATION and/or EXPERIENCE:
  1. Associate’s degree and five years of related work experience or equivalent combination of education, certificates, and experience required; coursework at the college level in administrative procedures preferred.
  2. Minimum of five years of increasingly responsible administrative assistant experience in an educational setting, preferably in a higher education setting.
  3. Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, ethnic, and disability backgrounds of community college students and employees.

SALARY:                 $47,050 + fringe benefits (If a current KCKCC employee is selected for this position, consideration will be given to his/her current salary.)
