Reporting directly to the Coordinator of Transcript Services the Transfer Technical Assistant shall be responsible for:
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
  • Responsible for evaluating incoming transcripts to KCKCC Policy and Procedures standards and recording to KCKCC transcripts.
  • Responsible for correcting transcripts for repeated (equivalency) courses among students’ transferring colleges and KCKCC. When institutions data uses quarter hours, it is necessary to convert quarter hours to semester hours.
  • Responsible for posting nontraditional credits to KCKCC transcripts after evaluating for College Policy/Program Requirements eligibility and payment of fees.
  • Responsible for verifying enrollments for financial assistance and applications for State Boards.
  • Responsible for evaluating eligibility and recording Honors Graduate status, Phi Theta Kappa designation, and transposing regular courses completed to Honors course status.
  • Respond to calls, faxes, letters and the National Student Clearinghouse regarding requests for education/employment verifications.
  • Maintain confidentiality of student records.
  • Assist with Degree/Certificate checks and Degree Audits for potential graduates.
  • Scanning and linking of student documents, including transcripts, verifications, and degree checks.
  • Assist in transcript/credit evaluations for Reverse Transfer Agreement students and students with credentials from foreign schools.
  • Other duties as assigned

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  • Must be able to operate a computer with speed, accuracy and efficiency.
  • Must possess good oral and written communication skills.
  • Must be able to work well with diverse groups with varying personalities, abilities and capabilities, both on the telephone and in person.
  • Must display the ability to maintain confidentiality of all matters and information that pertains to student records.
  • Must become well-versed in college procedures and policies.
  • Must have good organizational skills; be able to prioritize projects and operate under the pressure of deadlines.
  • Must be able to work with minimal supervision and initiate and work on projects independently.
  • Must possess a pleasant telephone demeanor and have strong customer service skills.
  • Must be familiar with scanning and linking of student records.
  • Working knowledge of a web-based student information system – Ellucian preferred.
 
EDUCATION and/or EXPERIENCE
  • Associate’s Degree required. Bachelor’s Degree preferred.
  •  Community College Records Office experience preferred.
  • Minimum of 2 years of office training and experience, preferably in a College Records Office.

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
 
  • Visual ability sufficient to perform computer, scanning and linking functions and identify students against their student identification card.
  • Must be able to sit for long periods of time operating at computer.
