PART-TIME RELIEF SECRETARY

Reports directly to the Chief Human Resources Officer, the Relief Secretary will be responsible for:
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
  1. Must be available to work in the various offices and departments throughout the college.
  2. May be required to sit at a front desk to meet and greet walk-in persons, faculty, staff or students.
  3. Answers phone calls and takes messages. Transfers callers to appropriate departments.
  4. Provides general information about the college to callers and walk-in guests.
  5. Receives, sorts, and forwards incoming mail. Maintains company mailboxes.
  6. Coordinates the pick-up and delivery of mail and packages.
  7. Assists in the ordering, receiving, stocking and distribution of office supplies.
  8. Provides callers with information such as company fax, telephone, directions to the college, college website etc.
  9. Assists with related clerical duties such as faxing, filing, photocopying and collating.
  10. Must be able to use computer system to assist departments.
  11. Will provide excellent customer service throughout the campus.
  12. Excel, Word and PowerPoint knowledge.
 
ADDITIONAL DUTIES AND RESPONSIBLITIES:
  1. Will perform other duties as assigned by Chief Human Resources Officer.
  2. Work schedules may be varied. May be assigned to other sites.

QUALIFICATION REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
  1. Excellent verbal and communication skills.
  2. Good decision making and processing skills.
  3. Effective communication skills in dealing with complex situations.
  4. Ability to keyboard at 40 words per minute (test will be administered).
  5. Ability to relate quickly and tactfully to a variety of people, including the general public, students, faculty and other employees.
 
EDUCATION and/or EXPERIENCE:
  1. High School Diploma or GED required. Secretarial coursework or Associate’s Degree Preferred.
  2. One year of relevant experience and/or training required.
  3. One year customer service experience required.

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.

  2. Visual ability sufficient to operate computer, telephone and copier.
 
SALARY:               $11.26
