DEAN OF OPERATIONS – TECHNICAL EDUCATION CENTER

Reporting directly to the Dean of Operations - TEC, the Administrative Assistant shall be responsible for providing administrative support to the Dean and for general office support.
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
  1. Provide administrative support for the Dean of Operations - TEC.
  2. Coordinate correspondence by telephone, computer and in written form.
  3. Process proper college forms by mail or through the network.
  4. Schedule all vehicles for use and maintenance.
  5. Maintain cleaning schedules for cleaning company as well as scheduling of special cleaning at all three TEC locations.
  6. Set up schedules for monthly maintenance for all equipment (furnaces, air conditioners, fire safety, etc.).
  7. Assist with bid solicitation on purchases for the maintenance area in the TEC.
  8. Facilitate travel arrangements and expense processing for staff.
  9. Collect and verify timesheets being reported for staff.
  10. Initial contact for concerns and complaints regarding all operation processes including custodial and maintenance.
  11. Facilitate all necessary correspondence regarding cafeteria cash register software, equipment and TEC meal cards.
  12. Assist with cashier duties as necessary.
  13. Process and distribute incoming and out-going mail that relates to the Dean.
  14. Prepare meetings, correspondence and minutes as required.
  15. Prepare correspondence, reports and requests on behalf of the Dean independently or as directed.
  16. Maintain and order supplies.
  17. Answer telephones, direct calls and schedule Dean’s appointments.
  18. Bridge to the Dean for satellite offices.
  19. Maintain meeting and schedule arrangements for the Dean of Operations - TEC.
  20. Process weekly Absence Reports, Request for Purchases and Leave Requests for TEC staff.
  21. Possess current knowledge of the college policies and procedures.
 
ADDITIONAL DUTIES AND RESPONSIBLITIES
 
  1. Other duties as assigned by the Dean of Operations - TEC.
  
CONSULTING TASKS
 
  1. Maintain confidential filing systems.
  2. Maintain log of all concerns and complaints.
  3. Assist in documenting policies, procedures and processes.
  4. Maintain confidentiality of all matters and information in and outside the office.
  5. Assist with enrollment.
  6. Assist Administrative Assistant for Academics Dean as needed.

QUALIFICATION REQUIREMENTS

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
 
  1. Must be able to type a minimum of 60 words per minute (typing test will be administered).
  2. Expertise in executing job functions quickly, efficiently and accurately.
  3. Consistent follow-through on assigned tasks/projects.
  4. Flexibility with regard to work priorities and/or tempo of workflow.
  5. Ability to gain knowledge of rules and regulations pertaining to the different aspects of the job related to operations and maintenance.
  6. Recognition of how tasks interrelate and impact the delivery of quality service.
  7. Familiarity with Internet and e-mail.
  8. Superior organizational skills, document tracking and archiving.
  9. Sense of urgency and composure under pressure.
  10. Ability to display positive “can-do” attitude.
  11. Familiarity with operation of office equipment (i.e. computers, copy machine, typewriter, calculator, fax machine, printers, and scanners).
  12. Outstanding customer service skills in a fast-paced environment.
  13. Professional attitude including discretion in handling confidential information.
  14. Proficiency in use of Microsoft Word, Excel, E-mail and Internet.
  15. A pleasant demeanor and ability to answer questions about the college, by telephone and in person, in a fast-pasted environment.
  16. Team player with ability to handle multiple tasks simultaneously.
  17. Desire to work in a culturally diverse setting.
  18. Working knowledge of a web-based student information system – DATATEL preferred.
 
EDUCATION and/or EXPERIENCE
 
  1. High school diploma or equivalent required; coursework at the college level in administrative procedures preferred.
  2. Minimum of two years administrative assistant experience, preferably in a higher education setting.

SALARY:  SALARY:  $28,258.12 per year plus fringe benefits
(If a current KCKCC employee is selected for this position, consideration will be given to his/her current salary.)
