ADMINISTRATIVE ASSISTANT /MATHEMATICS/SCIENCES/TECHNOLOGY & BUSINESS DIVISION

Reporting directly to the Dean of Mathematics/Sciences/ Technology& Business Division, the Administrative Assistant shall be responsible for the coordination and organization of the  office.
 
FUNCTIONAL RESPONSIBILITIES
  1. Maintaining confidentiality in all matters and concerns regarding the division and the College.
  2. Actively participating as a member of the Mathematics/Sciences/ Technology& Business division team.
  3. Coordinating functions of the office with all faculty, administration, and staff of the College and assuring that the Leavenworth Center and all other college instructional sites are included in all division communications.
  4. Provide positive initial contact for students and visitors to the divisional office.
  5. Answering telephone, FAX, email, or in-person, relaying all messages clearly and accurately.
  6. Assisting the Dean with completion of semester schedules according to college deadlines and updating schedule as needed according to enrollment trends, room/instructor assignments.
  7. Maintaining accurate inventory and ordering of supplies for proper functioning of the office.
  8. Maintaining instructor attendance reports, adjunct faculty absence records, and submitting reports weekly of absences and tardies to the Division Dean and Human Resources.
  9. Maintaining accurate records of classroom use and availability each semester and assisting administration with the scheduling of classrooms for other colleges, other divisions, and outside groups.
  10. Serving as a liaison between faculty and students.
  11. Delivering mail, audio-visual equipment requests, duplicating requests, etc. to proper departments.
  12. Aiding the Dean in preparation and processing of faculty evaluations.
  13. Gaining an understanding of the departments, courses, and activities of the division so that questions can be answered.
  14. Maintaining accurate and confidential records.
  15. Creating and maintaining files for various forms and information.
  16. Post class cancellations, assignments, etc. for students when necessary.
  17. Assist division faculty as needed.
  18. Perform other duties as assigned by the Dean.
 
ADDITIONAL DUTIES AND RESPONSIBILITIES
  1. Provide faculty and Dean with student records and class rosters as appropriate.
  2. Assist in contacting appropriate students and faculty when course sections are canceled.
  3. Assist Dean in contacting faculty regarding course assignments, meeting patterns, locations, and textbooks.
  4. Assist the Dean with preparation of load reports for payroll and leave updates.
  5. Maintain accurate database of active adjunct instructors for class assignment, substitution.
  6. Assist the Dean with preparation of student evaluations.
  7. Serve as contributor to Mathematics/Sciences/ Technology& Business portal pages.
 
CONSULTING TASKS
  1. At the request of the Dean, assisting division coordinators with special projects.
  2. Performing other duties and responsibilities as assigned by the Dean.
     
    SUPERVISORY RESPONSIBILITIES
  3. Work study students.
     
     
    QUALIFICATION REQUIREMENTS

REQUIRED KNOWLEDGE, SKILLS AND PERSONAL QUALIFICATIONS
  1. Ability to type a minimum of 50 words per minute (typing test will be administered)
  2. Excellent communication skills, both oral and written.
  3. Punctuality and dependability.
  4. Ability to work well with individuals with various backgrounds, personality traits, and capabilities.
  5. Ability to organize work and operate under the pressure of deadlines.
  6. Proficiency in Microsoft Word, Excel, Datatel and other computer programs preferred.  Ability and willingness to quickly learn other computer programs as needed.
  7. Experience in professional office procedures.
  8. Ability to communicate effectively face-to-face, on telephone, and by e-mail.
  9. Willingness to participate in continuing education opportunities.
           
PHYSICAL DEMANDS

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
 
  1. Visual ability sufficient to operate computer and office equipment
  2. Hearing ability sufficient to answer telephone and assist patrons of the College.
  3. Ability to lift 30 pounds.
 
EDUCATION and/or EXPERIENCE
 
  1. High School Diploma or equivalent; college coursework in administrative procedures preferred,
  2. Minimum of three years experience in coordination of all aspects of office management.
 
SALARY:                      $27,023.00 per year plus fringe benefits
