JOB PURPOSE:
Assist the Academic Event Scheduling Process Manager and Events & Scheduling Office.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Maintains confidentiality in all matters regarding Academic and Event Scheduling. Actively and fully participate as a professional member of the department.
  • Maintains and schedules meetings, appointments, travel, and events as directed by the Academic/Event Scheduling Process Manager.
  • Provides positive initial contact for stakeholders to the Events and Scheduling Office and assist walk0ins for assistance. Conduct event follow-up inquiries with customers.
  • Prepares various types of correspondence and other written communications for both internal and external distribution as directed the the Academic Event Scheduling Process Manager.
  • Relays all messages – clearly and accurately.
  • Answers phone and replies to voicemail or email inquiries within one business day.
  • Directs any concerns to the Academic Event Scheduling Process Manager.
  • Maintains confidentiality of sensitive and/or privileged information by assuring security and appropriateness of both verbal and written communications
  • Processes event request form submissions for college and community related events held at KCKCC to ensure accurate information is completed and acted upon.
  • Maintains the records, upkeep, and scheduling of KCKCC.
  • Identifies and assist stakeholders in decision making and event planning for their events held at KCKCC.
  • Contact customers for questions regarding event request forms that require further information.
  • Attend the Astra Users’ Conference annually alongside the Academic Event Scheduling Process Manager as a participating member.
  • Initiates resource requests in Ad Astra scheduling software to initiate workflow.
  • Post daily events about meeting and conference room usage at the main campus and the Technical Education Center during the week.
  • Prints weekly event report for Academic Event Scheduling Process Manager.
  • Perform other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Thorough computer skills in Microsoft Office Suite, Help Desk, and inventory management applications
  • Excellent communication skills, both oral and written
  • Commitment to accuracy and attention to detail
  • Ability to work with minimal supervision
  • Experience in professional office procedures
  • Willingness to participate in continuous professional development
  • Must possess a pleasant telephone voice and demeanor and the ability to answer questions concerning the college

EDUCATION and/or EXPERIENCE:

  • High school diploma or equivalent with a minimum of three (3) years secretarial/office manager or customer service experience required; OR
  • Associates degree or college coursework in office management, secretarial procedures, computer skills, hospitality management, human relations in a business environment with a minimum of one (1) year of secretarial/office manager, public service or customer service experience required.

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.

SALARY RANGE:   $29,800 - $37,300; actual salary will be commensurate with Education and Experience.

 

WORK SCHEDULE:
Must be able to work Monday – Friday 7:30 AM – 4:00 PM or Monday – Friday 8:00 AM – 4:30 PM to meet operational needs.
