JOB PURPOSE:
As an integral part of a fast paced the Registrar’s Office, this position assists all team members in ensuring that day to day operations flow seamlessly.  This position is primarily responsible for assisting students, guests, and constituents in the KCKCC Registrar’s Office process by providing face-to-face, telephone, and e-mail, customer service.  

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Greet and assist all students and guests who visit the Registrar’s Office.
  • Answering phones, routing calls to appropriate office personnel, taking messages when necessary and responding promptly to telephone, fax, and e-mail inquiries.
  • Timely and accurate processing of Student Record Change Forms, in the office and electronically.
  • Updating County billing codes and state residency billing codes.
  • Process returned mail.
  • Accepting, reviewing, and/or processing student and administrative withdrawal forms, add/drop forms, enrollment forms, transcripts, transcript requests, enrollment verifications, and other correspondence at the front counter.
  • Assist in explaining the records office processes to students, parents, and visitors to the college.
  • Scan and link documents to student files. 
  • Assist with the college’s compliance with FERPA and other federal regulations.
  • Must display the ability to maintain confidentiality of all matters and information that pertain to student records.
  • Must become well-versed in college and office procedures and policies.
  • Assist with Data Integrity and Data Reporting tasks.
  • Perform other duties as assigned by Records Coordinator and Registrar.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Working knowledge of a web-based student information system, Ellucian preferred.
  • Proficiency using Microsoft Word, Excel, e-mail and internet required.
  • Ability to work with individuals of diverse cultural backgrounds and age groups required.
  • Capacity to prioritize and manage multiple projects and deadlines required.
  • Ability to work overtime hours during enrollment, orientation, graduation and peak times required.
  • Ability to maintain confidentiality in accordance with FERPA.
  • Must display the ability to maintain confidentiality of all matters and information that pertain to student records.
  • Must be respectful and welcoming of different backgrounds, cultures and abilities, both on the telephone and in person.
  • Must possess excellent oral and written communication skills.
  • Must have the ability to organize work, prioritize projects and operate under the pressure of deadlines
  • Proficiency in operating a computer and Microsoft Windows operating system software (WORD, EXCEL) required.
  • Ability to effectively communicate with a diverse campus community in a courteous and professional manner necessary.
  • Ability to maintain effective and cooperative working relationships with staff, faculty, students and public.
  • Ability to maintain confidentially in accordance with FERPA.
  • Must possess accurate keyboarding skills and be able to efficiently and accurately enter data
  • Ability to work with minimal supervision.
  • Requires attention to detail and investigation skills.
  • Ability to multi-task and prioritize in a demanding environment, supporting department goals
  • Must be available for extended hours and evening work as required for designated days.
  • Must possess a willingness to work in a team setting and perform with proficiency to other duties assigned.
  • Ability to maintain confidentiality of all matters and information.
  • Must possess a pleasant telephone demeanor and ability to answer questions about the college with a sense of pride.
  • Must be able to sit for long periods of time operating a computer.
  • Hearing ability sufficient to answer telephone and assist patrons of the College.
  • Visual ability to sufficient to perform computer, scanning, linking functions, and identify students against their student ID.

EDUCATION and/or EXPERIENCE:

  • High School Diploma/ GED
  • Minimum of two (2) years of previous employment in a customer service/business office field which includes face-to face, telephone, and email contact with customers.


PREFERRED QUALIFICATIONS:

  • Associate’s Degree.

PHYSICAL DEMANDS:

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.

SALARY RANGE:   $11.57 per hour

WORK SCHEDULE:
This position will be assigned to the front Registrar’s Office Monday thru Friday from 7:30 AM-1:00 PM.  Must be able to work a variable schedule, extended, varying hours, evenings and weekends as required for designated days.
