FINANCIAL AID CUSTOMER SERVICE ASSISTANT

This is a full-time, front-line position that is the first point of contact for persons seeking assistance in the Student Financial Aid Office. This individual will report directly to the Assistant Director of Student Financial Aid and will work with all professional staff in the office. The customer service assistant will accept and review paperwork that is presented and provide general financial aid information to customers. The technical assistant will also spend part of each day away from the front counter to perform other assigned duties.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Greet students/faculty/staff/public who enter the office and offer assistance
  • Assess the needs of the walk-in public by answering general financial aid questions and/or referring specific concerns to other professional office staff
  • Issue book vouchers to eligible students
  • Report status of student’s aid application to the student upon request
  • Accept requested documents and new applications from students, checking for completeness
  • Post documents to computer system
  • Distribute financial aid applications and publications to the public
  • Respond promptly to telephone calls and e-mail inquiries
  • Assist in management of general office e-mail box
  • Organize documents into scan batches and scan and link documents into document imaging system for the entire financial aid office
  • Deliver and retrieve office mail and process return mail.
  • Request missing or incomplete documents from students as needed
  • Answer office telephones.

ADDITIONAL DUTIES AND RESPONSIBLITIES

  • Assist in preparing office mailings
  • Maintain office copier and fax machine
  • Inventory, order and stock supplies for office.
  • Manage the stocking and ordering of office publications.
  • Assist Loan Coordinator in communicating with students missing information.
  • Mail loan exit information to student borrowers
  • Become knowledgeable of current federal, state and institutional regulations governing financial aid
  • Complete outside agency financial aid verification forms.
  • Represent the Student Financial Aid Office at various campus and public events.
  • Perform other duties as assigned by supervisor

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to multi-task and prioritize in a demanding environment, supporting department goals
  • Ability to effectively communicate with a diverse campus community in a courteous and professional manner necessary
  • Must possess a pleasant telephone demeanor and ability to answer questions about the college with a sense of pride

  • Must be able to handle difficult situations with diplomacy

  • Ability to maintain effective and cooperative working relationships with staff, faculty, students and public
  • Ability to maintain student confidentially in accordance with FERPA
  • Must possess accurate keyboarding skills and be able to efficiently and accurately enter data
  • Proficiency in operating a computer and Microsoft Windows operating system software
  • Familiarity with scanning, storage and retrieval of documents preferred
  • Ability to work with minimal supervision in cooperation with other office staff

EDUCATION and/or EXPERIENCE

  • High school diploma or equivalent required: Associate’s Degree preferred
  • Minimum of two years of previous employment in a general public face-to-face customer service position

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.

 

POSITION TYPE: Full-time

 

EMPLOYMENT CLASSIFICATION: Non-Exempt

 

SALARY: $27,500-$32,500 per year ($13.22-$15.63 per hour)
