COORDINATOR/ STUDENT FINANCIAL AID – WORK-STUDY, OUTSIDE AGENCIES & SCHOLARSHIPS

This is a full-time position that is primarily responsible for the implementation and coordination of awarding outside agency aid, institutional scholarships and performance grants. Additionally, this coordinator will implement, maintain, and monitor both the federally funded and college funded student employment programs. This individual will report directly to the Director of Student Financial Aid.
 
 FUNCTIONAL RESPONSIBILITIES
  • Recording financial awards in the administrative computing system for each student receiving financial assistance from all campus departments and any source outside the college
  • Coordinating the payment and billing of outside agency aid with the Business Office
  • Retrieving scholarship and grant award information from campus departments to post to the student’s record in the administrative computing system
  • Serving as the point of contact for students with regard to general scholarship information
  • Maintaining a listing of scholarship opportunities outside the college for students to view
  • Maintaining scholarship information from campus departments to distribute to students, parents, and general public
  • Requesting and maintaining job opening information from campus departments
  • Developing and maintaining a student job availability database and a placement system for referring students to departments with openings
  • Monitoring federal and campus work-study program budgets
  • Conducting training for new work-study program supervisors
  • Developing positions and coordinating placement of students in the America Reads/America Counts and Community Service work-study programs
  • Researching and publishing a listing of financial aid resources for undocumented students
  • Managing the financial aid awarding process for ability to benefit students
  • Scanning and linking documents received
  • Developing, distributing and updating annually a work-study handbook for students and supervisors
  • Meeting with students and their families to assist them in completing the financial aid process
  • Adjusting student award amounts and/or the amount of aid transmitted to the student’s account, as requested
  • Attending annual training events to remain up-to-date with regard to institutional, state and federal regulations and processes
  • Preparing a monthly report regarding outside agency, institutional aid and student employment program activities
  • Attending office staff meetings and reports on status of programs
  • Responding promptly to telephone voice messages and e-mail inquiries
  • Accessing, reviewing and responding promptly to campus email
 
CONSULTING TASKS
  • Assisting with issuing book vouchers to students
  • Assist with the college’s compliance with FERPA and other federal regulations
  • Representing the Student Financial Aid Office at on and off-campus events and workshops
  •  Consult with Vice President for Student and Administrative Services in developing work-  study program budgets for campus departments
  • Assisting students by providing information about KCKCC payment options and processes
  • Referring students to appropriate KCKCC contacts for specific assistance
 
 
SUPERVISORY RESPONSIBILITIES
  • Supervising the process of obtaining employment documents from students and timesheets from job supervisors
  • Monitoring and training faculty and staff performing duties associated with the student employment program, institutional aid, or outside agency aid awarding

REQUIRED KNOWLEDGE, SKILLS AND PERSONAL QUALIFICATIONS
 
  • Exceptional written and verbal communication skills
  • Proficiency using Microsoft Word, Excel, Outlook e-mail and internet
  • Ability to work well with individuals of diverse cultural and educational backgrounds and age groups
  • Must be able to handle difficult situations with diplomacy
  • Ability to maintain confidentiality of all matters and information
  • Must be able to work with minimal supervision and to initiate and work on projects independently
  • Capacity to prioritize and manage multiple projects and deadlines
  • Willingness to work overtime hours during enrollment peak times
 
EDUCATION and/or EXPERIENCE:
 
  • Bachelor’s Degree in Business, or related field preferred.
  • Minimum of two years experience in a student financial aid position preferred.

EMPLOYMENT CLASSIFICATION:  EXEMPT, 541.3
 
SALARY RANGE:    $38,777.26-$39,583.26 (dependent on experience)
(If a current KCKCC employee is selected for this position, consideration will be given to his/her current salary.)
