ASSISTANT DIRECTOR OF THE BOOKSTORE

Reporting directly to the Director of the Bookstore, the Assistant Director of the Bookstore shall be responsible for assisting the Director with the daily operations of the bookstore.  May directly manage the bookstore supervisor, other employees and all functions of the bookstore.  Act as the Director in their absence and manage any and all satellite campuses.
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
 
  • Assist in the purchase of textbooks for resale; negotiating price, terms, and delivery with vendors; determining quality and quantity of product purchased; and ensuring prompt payment of invoices
  • Implement and maintain inventory and fiscal controls of text related merchandise
  • Coordinate the return of product to vendors for overstock, damaged or defective merchandise
  • Manage the shipping and receiving of course materials
  • Oversee the sales of textbooks through the stores website
  • Assisting in website content maintenance
  • Maintain the store appearance and cleanliness; consulting with custodial staff for cleaning of floors, windows, and trash pickup
  • Assist customers on the sales floor, phone, e-mail, and website
  • Assist cashiers during peak periods, breaks, and vacations
  • Assist with processing and stocking of books purchased through book buyback
  • Assist with annual bookstore inventory
  • Assist the Director in the day-to-day operation of the bookstore
  • Complete and accomplish all other duties as assigned
 
SUPERVISORY RESPONSIBILITIES
 
  • Supervises the work activities of store associates FT/PT and Temporary including:
        - Interviews, hires and trains associates
        - Assists Director in scheduling associates
        - Ensures sales associates provide excellent customer service while following all College and store policies,   procedures and standards
        - Ensures merchandising standards, promotion standards, and creation of displays are executed
  • Coordinates the dissemination of information throughout the store, including policy or procedural changes, product shifts, floor moves, and seasonal set-ups
  • Interviews, hires and trains employees and assists the director in scheduling employees to cover absences and vacations
  • Analyzes data and prepares reports for Director
  • Analyzes store layout, storage space, and expected deliveries to determine staging area for materials during semester rush or buyback. Directs and assists with the moving and placement of product and fixtures
  • Leads efforts to reduce in-store shrink activity through Loss Prevention education, awareness and compliance
  • May work on assigned projects such as store renovations or reorganizations, special promotions, special displays, or off-site selling events
  • Fills in for the director or other store employees as needed
  • Performs other related duties as assigned

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
 
  • Ability to work with minimal supervision and be able to prioritize and perform multiple tasks in order to support departmental goals
  • Excellent oral and written communication skills; pleasant telephone demeanor; ability to relate helpfully and tactfully to a variety of people and questions
  • Ability to work well under pressure (enrollment & buyback)
  • Must possess accurate keyboarding skills and be able to efficiently and accurately enter data
  • Willingness and ability to be flexible in working hours and may be needed to work some evening or weekend hours
 
EDUCATION and/or EXPERIENCE
 
  • Associate’s degree required; Bachelor's degree preferred
  • 2-3 years’ experience working in a retail environment (bookstore experience desired)
  • 2-3 years’ previous store management and people management
  • Entry level ability in Word and Excel software
  • Basic accounting/bookkeeping skills with strong aptitude with numbers and safe cash handling procedures
  • Demonstrated ability to lead and influence a team
  • Strong customer service and communication skills
  • Strong organizational and problem-solving skills
  • Computer literacy in most current Microsoft applications
  • Supervision of 2 or more full-time associates

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
 
  • Hearing ability sufficient to assist customers.
  • Ability to lift 50 lbs.
  • Visual ability sufficient to perform accounting procedures and make correct change at cash register.
 
CLASSIFICATION:       541.1 Exempt
 
SALARY:                      $40,000-$45,000 annually, Commensurate upon experience
