EVENING TECHNICAL ASSISTANT -TEC

Reporting directly to the Director of Technical Programs, the Technical Assistant will be responsible for clerical functions of the office.  
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
  1. Organize enrollment for the evening programs.
  2. Assist students with enrollment process for evening classes in databases
  3. Work on classroom schedules for evening classes
  4. Inform students and instructors when evening classes are cancelled and process refunds as needed.
  5. Print student certificates for instructors as requested.
  6. Provide assistance to the director in setting up customized training courses, contracts, enrollment and billing for those courses.
  7. Work closely with staff on coordinating evening programs.
  8. Assist in social media promotional activities.
  9. Assist in answering telephones, transfer calls to appropriate staff member, and/or take messages.
  10. Greet and provide assistance to students, faculty, and visitors.
  11. Create and modify documents using Microsoft Office.
  12. Input and print reports on college systems.
  13. Perform general clerical duties to include but not limited to the following: photocopying, faxing, mailing, and filing.
  14. Support staff and faculty in assigned project-based work.
  15. Other duties as assigned by the Dean of Academic Workforce Programs - TEC.

REQUIRED KNOWLEDGE, SKILLS, AND PERSONAL QUALIFICATIONS
  1. Must be able to type a minimum of 50 words per minute (typing test will be administered)
  2. Expertise in executing job functions quickly, efficiently and accurately.
  3. Flexibility with regard to work priorities and/or tempo of workflow.
  4. Superior organizational skills, document tracking and archiving.
  5. Sense of urgency and composure under pressure.
  6. Ability to display positive “can-do” attitude.
  7. Familiarity with operation of office equipment (i.e. computers, copy machine, typewriter, calculator, fax machine, printers, and scanners).
  8. Outstanding customer service skills in a fast-paced environment.
  9. Professional attitude including discretion in handling confidential information.
  10. Proficiency in use of Microsoft Word, Excel, E-mail and Internet.
  11. A pleasant demeanor and ability to answer questions about the college, by telephone and in person, in a fast-pasted environment.
  12. Team player with ability to handle multiple tasks simultaneously.
  13. Desire to work in a culturally diverse setting.
  14. Working knowledge of a web-based student information system – DATATEL preferred.
 
EDUCATION and/or EXPERIENCE
  1. High school diploma or equivalent required; coursework at the college level in administrative procedures preferred.
  2. Minimum of two years’ clerical experience, preferably in a higher education setting.

While performing the duties of this job, the employee is frequently required to stand and talk or hear and sometimes walk and sit.  Occasionally the employee will bend or twist at the neck more than the average person.  While performing the duties of this job, the employee may occasionally push or lift items.  The employee is directly responsible for safety, wellbeing, and work output.
 
Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
  1. Able to sit for long periods of time.
  2. Be able to grasp, reach and use fingers and hands to use computers.
  3. Must be able to hear phone.
 
SALARY:       $32,500 per year       
 
 
 
WORK HOURS:        10:00 am to 6:30 pm Monday-Thursday
                                    7:30 am to 4:00 pm Friday
                                    (Schedule subject to change depending on evening class schedules)
