ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Providing support for the Student Success Center and its staff.
  • Serving as the receptionist for the Student Success Center while consistently presenting a positive, friendly and helpful demeanor.
  • Answering the telephones, taking messages, making appointments, and securing transcripts for the personnel in the Student Success Center.
  • Processing correspondence and documents for the personnel in the Student Success Center.
  • Preparing bulk mailings for Student Success Center.
  • Maintaining file system and performing regular filing duties for the Student Success Center.
  • Maintaining the general appearance of the reception area as well as informational materials.
  • Providing backup assistance to the placement coordinator with placement testing.
  • Assisting students in the Student Success Center computer lab.
  • Acting as a note taker for various meetings, conferences, workshops, etc. as designated by the Lead Advisor of the Student Success Center.
  • Assisting with enrollment services as assigned by the Lead Advisor of the Student Success Center.
  • Become familiar with various campus resources to provide informed assistance to students, college employees, and the public.
  • Maintaining confidentiality of all information in the Student Success Center.
  • Performing data entry to maintain the electronic information system.
  • Ordering, maintaining and organizing office supplies in the work room.
  • Training and monitoring work study students.
  • Scheduling campus visits from other colleges.
  • Scanning documents and transcript for the staff of the Student Success Center.
  • Edit and update the Student Success Center page through MyDotte.
  • Send out texts to students through Regroup about Student Success Center.
  • Create, update and maintain databases in Microsoft Access for data entry purposes.
  • Assisting in task as assigned by Lead Advisor of the Student Success Center (Duties as assigned).

CONSULTING TASKS:

  1. Assisting all professional employees in the Student Success Center in assessing, developing and providing services for students.
  2. Assisting “walk-in” students, staff, faculty and visitors to obtain information regarding campus services and resources.
  3. Assisting with students with questions regarding services offered through the Student Success Center.
  4. Assisting with all main campus enrollments.
  5. Assisting with the college’s compliance with FERPA and other federal regulations.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Must be computer literate, including knowledge of Microsoft Office and current word processing software.
  • Must have good oral and written communication skills.
  • Ability to work well with a wide variety of individuals on a consistent basis
  • Must demonstrate a consistent pleasant demeanor on the phone and in the reception area.
  • Must be able to work with minimal supervision and to initiate and work on a project independently.
  • Must be able to work under the pressure of deadlines, stress and multiple tasks.

EDUCATION and/or EXPERIENCE

  • High School diploma or equivalent required.
  • Minimum of one year secretarial/office experience required.

PREFERRED QUALIFICAITONS

  • College coursework in secretarial procedures is preferred.

While performing the duties of this job, the employee is frequently required to stand and talk or hear and sometimes walk and sit.  Occasionally the employee will bend or twist at the neck more than the average person.  While performing the duties of this job, the employee may occasionally push or lift items.  The employee is directly responsible for safety, wellbeing, and work output.

Specific vision abilities required by this job include close vision such as the ability to read handwritten or typed material, and the ability to adjust focus. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.

  1. Visual ability sufficient to operate computer and office equipment
  2. Hearing ability sufficient to answer telephone and assist patrons of the College.

SALARY:   $14.47 per hour plus benefits.
 

WORK HOURS (FULL TIME POSITION):

AUGUST – DECEMBER / JANUARY – MAY:

  • 9:00 am – 6:00 pm Monday through Thursday
  • 8:00am – 4:30 pm Friday

JUNE – JULY:

  • 7:30 am – 5:30 pm Monday through Thursday
  • College is closed on Fridays during the Summer Semester
