Reporting directly to the Dean of Arts, Humanities, & Social Sciences (AHSS), the Administrative Assistant shall be responsible for the coordination and organization of the AHSS division office.
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
 
  1. Maintain confidentiality in all matters regarding the AHSS division and the college.
  2. Actively and fully participate as a professional member of the AHSS division team.
  3. Coordinate functions of the AHSS divisional office with all faculty, administration, and staff of the college.
  4. Ensure that the Leavenworth Center and all other college instructional sites are included in all AHSS divisional communications.
  5. Provide positive initial contact for students and visitors to AHSS divisional office.
  6. Record all messages - phone, in-person, FAX, email, etc. - clearly and accurately.
  7. Direct concerns to appropriate campus resources to expedite resolution.
  8. Gain familiarity with AHSS disciplines, courses, and activities to answer/refer basic questions.
  9. Post class cancellations, assignments, etc. for students when necessary.
  10. Assist AHSS division faculty as needed.
  11. Facilitate communication between faculty, campus, and public requests for Performing Arts Center.
  12. Perform other duties as assigned.
 
ADDITIONAL DUTIES AND RESPONSIBLITIES
 
  1. Maintain accurate and confidential records of all aspects of the AHSS division:  operational budgets, syllabus files, competency forms, et al.
  2. Assist the Dean with completion of semester schedules according to college deadlines to update semester     schedule according to enrollment trends, room/instructor assignments, etc.
  3. Create and update schedules of room usage, faculty assignments and office hours, etc. by semester.
  4. Maintain accurate database of active adjunct instructors for class assignment, substitution, etc
  5. Notify adjunct faculty regarding course assignments, meeting patterns, locations, and textbooks
  6. Assist the Dean with preparation of adjunct load reports for payroll and leave updates
  7. Contact appropriate students and faculty when course sections are canceled, assisting with student schedule adjustment.
  8. Coordinate scheduling student evaluations of faculty.
  9. Provide AHSS faculty and Dean with student records and class rosters as appropriate.
  10. Submit weekly absence reports for all AHSS personnel to the division Dean and Human Resources.
  11. Record minutes of all division, coordinator, subgroup, and student meetings as requested.
  12. Organize hospitality for division meetings and social gatherings as directed.
  13. Serve as primary contributor to AHSS portal pages.
  14. Distribute mail and other requests and communications to appropriate entities daily.
  15. Create and maintain inventory of supplies for properly functioning office, re-ordering as necessary.
 
CONSULTING TASKS
 
  1. Assist AHSS academic coordinators with special projects.
 
SUPERVISOR RESPONSIBILITIES
 
  1. Work-study students.
 
QUALIFICATION REQUIREMENTS

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
 
  1. Ability to type a minimum of 60 wpm (test will be administered).
  2. Excellent oral and written communication skills in all media: in-person, telephone, email, etc
  3. Punctuality and dependability
  4. Ability to work well with individuals of diverse backgrounds, personalities, etc.
  5. Excellent organizational skills, balancing long-term and immediate project deadlines.
  6. Proficiency in Microsoft Office Suite, Ellucian, and/or other institutional management software preferred.
  7. Experience in professional office procedures.
  8. Willingness to participate in continuous professional development.  
 
 
EDUCATION and/or EXPERIENCE
 
  1. High school diploma or equivalent required.
  2. Professional training in secretarial procedures, computer skills, human relations, and/or business preferred.
  3. A minimum of 3 years' experience in coordination of all aspects of office management.
  4. Experience in an educational setting preferred.

While performing the duties of this job, the employee is frequently required to exert up to 20 lbs. of force and/or a negligible amount of force constantly to move objects.
 
Specific vision abilities required by this job include close vision, such as the ability to read handwritten or typed material, and the ability to adjust focus.  Ability to present information to students and respond as needed required. The position requires the individual to meet multiple demands simultaneously and to interact with the public and other staff.
 
 
  1. Visual ability sufficient to operate computer and office equipment.
  2. Hearing/speech sufficient to answer telephone and assist patrons to the college.
 
SALARY:                $28,858.12 per year, plus fringe benefits    
      (If a current KCKCC employee is selected for this position, consideration will be given to his/her current salary.)
