Reporting directly to the Dean of Enrollment Management. Provide leadership to plan, organize and manage all of the activities related to the Records Department, serving as the official authorized keeper of the College’s student records. 
 
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES: 
  1. Hire, supervise and evaluate the Records and Registration Personnel.
  2. Organize and administer the records, registration and graduation functions, including transcript evaluations, and the in order to provide maximum service to students while ensuring efficient and effective workflow.
  3. Lead initiatives as deemed by the Dean.
  4. Supervision the coordination, evaluation and certification of al graduation applications, while overseeing the complete graduation process to include all elements of the rehearsal and ceremony.
  5. Responsible for collecting, recording, maintaining and reporting of student records within FERPA guidelines, e.g., grades, registration data, transcripts, mid-term verification, athletic eligibility.
  6. Provide leadership and develop appropriate recommendations for the implementation of related technology application in support of enhanced services offered through Registration and Records.
  7. Develop and administer the departmental budget.
  8. Problem solve the research, analysis and resolution of student disputes as they relate to records and registration.
  9. Collaborate with administrators, deans, faculty, IT and student advisors to facilitate and improve services to students, including catalog and registration/records policy questions.
  10. Serve as a member of the Academic Policies Committee.
  
ADDITIONAL DUTIES AND RESPONSIBILITIES:

  2. Participate in professional development activities and serve on college committees that support the goals and objectives of the division of the college.
  3. Provide back-up for records and registration services, including registering students, issuing transcripts, answering phones, scanning, reporting grades and working special events.
CONSULTING TASKS:
  1. Work collaboratively with all KCKCC departments to address the needs and concerns.
  2. Work with the Student Advising Office to provide support and advice to degree completion students that is consistent with established policy and procedures.
  3. Assist with day, evening and weekend enrollment and registration activities.
  4. Assist in planning and organizing all enrollments at KCKCC.
  5. Assist with the college’s compliance with FERPA and other federal regulations.
  6. Assist with the marketing/recruitment plan.
 
SUPERVISOR RESPONSIBILITIES:
  1. Hire, Supervise and Evaluate Admissions & Registration Personnel.
  2. Supervise the coordination, evaluation and certification of all graduating applications, while overseeing the complete graduation process to include all elements of the rehearsal ceremony.

REQUIRED SKILLS, KNOWLEDGE AND ABILITIES:
  1. Ability to operate a computer in areas as Desktop Publishing, Microsoft Word, PowerPoint, Excel and Access.
  2. Must have exceptional written and verbal communication skills.
  3. Ability to work well with individuals with varying personality traits, abilities, and capabilities, both on the telephone and in person.
  4. Must be able to handle difficult situations with diplomacy.
  5. Ability to maintain confidentiality of all matters and information.
  6. Must possess a pleasant telephone demeanor and ability to answer questions about the college with a sense of pride.
  7. Must have the ability to organize work well and operate with composure under the pressure of deadlines.
  8. Must be able to work with minimal supervision, and to initiate and work on projects independently, as time permits.
  9. Must be flexible enough to work on more than one project at a time.
  10. Working knowledge of a web-based student information system-DATATEL preferred.
  11. Experience with production of a variety of media (social media) promotional literature and display materials.
 
EDUCATION AND/OR EXPERIENCE:
  1. Master’s degree required in student services, educational administration or a related area.
  2. A proven track record of successful supervisory experience in a people-oriented environment.
  3. 3 years of direct experience or 5 years in a related area. Preferred 5 years of direct experience in a community college setting.
  4. Demonstrated understanding of the application of technology to deliver Records and Registration services.
  5. A proven record in working successfully with diverse populations.
  6. A positive attitude and ability to plan and adapt to change.
  7. Ability to collaborate effectively with college departments and cross-functional teams.
  8. Strong interpersonal, oral and written communication skills.

SALARY:         $65,000 plus fringe benefits
